Airtable alternatives: why customers leave and where they go

Why customers leave

The strongest pressure comes from Acute, worsening pricing and renewal problems. Customers report unexpected seat-based charges and cancellation processes that can leave them unable to stop payments without blocking a card or disputing charges. Acute, worsening support problems can extend billing, lockout, and data-extraction issues, while reliability concerns grow as bases, automations, and concurrent use scale.

Across 183 customer source records for Airtable, this run documents 6 switching triggers and 8 named destinations.

What pushes customers out

Ordered by how much evidence sits behind each one, strongest first.

  1. 1

    Unexpected seat-based charges

Guests can reportedly become paid collaborators without administrator approval, creating surprise costs as teams grow. The problem usually surfaces when invitations and editor access are not governed manually, with no hard cap on editor seats.

  2. 2

    Difficult cancellation

Customers report that automated processes can block cancellation requests, especially when an administrator email domain changes or expires. This becomes most consequential when a team is trying to end service or halt recurring charges.

  3. 3

    API rate limits at scale

A limit of 5 requests per second can disrupt webhook traffic and integrations during high-volume events. Technical teams tend to encounter this when Airtable is used for live, high-traffic workflows rather than smaller implementations.

  4. 4

    Performance degradation

Larger bases, complex automation traffic, and more simultaneous users can bring slow loading, delayed edits, and synchronization failures. These issues surface when a workflow becomes operationally important and needs dependable real-time behavior.

  5. 5

    Steep learning curve

The flexible structure requires careful schema design, onboarding, and internal governance rather than a simple spreadsheet setup. Teams can encounter data-loss risk when users delete interconnected records without understanding the relational model.

  6. 6

    Missing row-level permissions

Without row-level controls, administrators must build fragile workarounds to restrict sensitive financial or HR data. The limitation becomes critical when broader collaboration must coexist with granular access needs.

Where they go

Customers move to Supabase or Postgresql when scale, API limits, or data-governance needs become central. Stackby and Airprocess are named by smaller teams seeking lower-cost direct alternatives, while Excel and Google Sheets are used to regain control of costs and data. Codex and GOHIGHLEVEL are also named as destinations.

What customers hit before they leave

The areas carrying the most reported pain. Higher score means more reported trouble.

AcuteWorsening

Customers report billing shocks when guests are upgraded to paid collaborators without administrator approval. The lack of hard editor-seat caps and no proration for accidental additions can make costs difficult to control as teams expand.

STAY AWAY! YOU WILL BE A PRISONER! A company that was formerly trusted and we used for over 10 years and now is a huge scam. As others report, they randomly charge the credit card on our company account, $35,000 over the past three months when for YEARS our bill has been $10k a year.

Automated support can leave customers in loops during billing and technical problems, with reports of delayed, canned, or missing responses. For teams relying on Airtable as a system of record, account lockouts and data-extraction issues can become operational bottlenecks.

It is a glorified excel, not worth the money and one of those companies where AI is doing everything so you don't get a real person to figure out issues.

Under heavier load, larger record counts, complex automations, and concurrent use, customers report slow bases, delayed edits, and sync failures. The 5-requests-per-second API limit can also interrupt live webhook traffic and integrations during high-volume events.

The main weakness appeared as our bases became larger and more people worked in them at the same time. Loading and refreshing could feel slow, and edits were not always visible as quickly as we expected.

Although the product supports custom workflows, it requires deliberate schema design, onboarding, and governance. Users who treat it like a simple spreadsheet can delete interconnected records and cause serious data loss.

Para mi ha sido un libro en blanco que poder desarrollar todo un CRM. ADVERTENCIA!! Hay que configurarlo desde 0!! Pero si sabes lo que quieres y como lo quieres, te puedes crear el mejor sistema del mercado.

Customers remain divided between the product's flexibility and design strengths and frustration with pricing, contract changes, and core stability. Long-term users describe a deteriorating vendor relationship despite the product's operational stickiness.

I can't believe how quickly we went from loving to absolutely despising the company. Complete trash.

Some advanced users value AI for data structuring and workflows, but others report lag and broken filtering or attachment functions after the AI rollout. Customers also object to AI features being tied to higher-tier pricing while core performance worsens.

With their massive AI introduction, AT went from my favorite app to the most unreliable one becoming incredibly laggy and behaving in a way I have never seen: filters, attachements and other basic functions that I've been using for many years just don't work anymore... AT has become unreliable AI slop.

The lack of row-level permissions forces complex workarounds for sensitive financial or HR data. Customers also describe document generation through Page Designer as limited, unstable, and poorly suited to multi-page output.

I was forced to use their supplied extension, Page Designer, to produce merge forms that needed images from my attachments. Page Designer is extremely limited in customization features, maddingly unstable, and horribly underdeveloped.
